Background

Mike Gaston has been Copper Cellar's IT Director since 1995, shepherding the company through every major technology transition, from its first Windows NT server and restaurant desktops to the POS and payroll systems running across 23 locations today. Managing technology across seven distinct dining concepts often feels, as Mike puts it, like operating six or seven businesses simultaneously.


Tip management had been on Mike's radar for years. He watched the space evolve, tracked Gratuity Solutions through multiple rounds of back-and-forth, and eventually ran a pilot, only to find that rules were configured by the vendor, not the customer, with no visibility into the underlying logic. Pay card vendors required 100% flow-through and manual spreadsheet entry into a nightly portal. Neither option was a real replacement for the broken process Copper Cellar was already running.


The turning point came from a referral. A local company mentioned TipHaus, and word of mouth was enough to start the conversation.

Problem

For most of Copper Cellar's history, nightly tip payouts were paid in cash. That worked as long as enough cash came in each day to cover what went out. But as card payments came to dominate, the math stopped working.


A typical night might bring in $1,500 in cash receipts but owe $3,000 in charge tips, a $1,500 shortfall that fell on managers to solve. Petty cash reserves ballooned from the standard $2–3K up to $6–10K per location just to keep up. Managers were making 2–3 trips to the bank per week. When rural branches, many of which would cash checks but not accept deposits, couldn't bridge the gap, the call went to the corporate office for an emergency check run.


The safety exposure was hard to ignore. Managers were counting stacks of cash in open offices, the safe visible, while employees passed through. The amounts were large enough that the process had become a liability.

Before Earned Tip Access, counting the cash on site every day was also far from ideal. Oftentimes, the managers were counting this in the office with the safe open, with $10 to $12K of cash, while other employees were passing by. It's a very labor-intensive and visible process.
